Terms of Service

About Spotlock
Spotlock is operated by RTA SCIENCE LLC. These terms describe use of our scheduling, booking, website embedding and payment-routing service by providers and participants. The provider identified on a booking offers and delivers the experience. Spotlock is not the organizer of that experience. These terms do not override rights or responsibilities imposed by applicable law. Contact us through the linked contact form about these terms.
Accounts and authority
Account holders and people making bookings must be adults with legal capacity to enter the transaction. If you act for a business or another participant, you must have authority to do so. Keep account details accurate, protect sign-in credentials and private booking links, and promptly report unauthorized access. An adult must arrange bookings for children and obtain any necessary parent or guardian permissions.
Providers and their offerings
Providers are responsible for accurate descriptions, dates, locations, capacity, accessibility information, eligibility, prices, tax treatment and cancellation terms; delivering their services; and maintaining required licenses, insurance and permissions. A provider must disclose material restrictions before purchase and honor confirmed bookings or provide remedies required by law. School names or demo listings do not imply school endorsement. Providers must not collect unnecessary sensitive information through descriptions, messages or booking fields.
Prices, platform fees and changes
The applicable Spotlock platform fee is shown in the pricing information and provider configuration at the time of a transaction. A percentage fee and any applicable cap are calculated according to that configuration. Stripe processing, currency conversion, disputes and other payment-service charges are separate and depend on the connected account and its arrangements with Stripe. An estimate in a pricing tool is not a promise of a payout or Stripe rate.
Spotlock may increase or decrease its fees, caps or pricing structure in response to economic conditions, payment-processing costs, operating costs, taxes, compliance requirements or changes to the service. Changes apply prospectively. We will communicate material fee changes to affected providers before they take effect, with any notice or consent required by applicable law or an existing agreement. Providers can stop accepting new bookings before a change takes effect. A fee change does not authorize a retroactive increase to the price of a confirmed booking. Separate charges, such as a later dispute or currency conversion charge, remain governed by the applicable payment agreement.
Providers must account for their costs when setting prices and display mandatory charges as required by local pricing law. A pricing disclosure does not authorize hidden fees or unlawful payment surcharges. Participants must be shown the payable total, including applicable taxes and any permitted additional charges, before confirming payment.
Payments and taxes
Paid bookings use Stripe. For connected-account direct charges, the provider receives the payment in its connected Stripe account and Spotlock collects an application fee. Providers must complete Stripe onboarding and comply with their Stripe agreements. Stripe controls payment processing, verification and payout availability. Spotlock does not hold raw card numbers or security codes. Responsibility for refunds, disputes, processing fees and negative balances depends on the account configuration, the relevant agreements and applicable law.
Providers are responsible for identifying, calculating, collecting, reporting and remitting taxes applicable to their offerings, except where law assigns a duty to another party. A configured tax rate is not tax advice or a determination that tax is owed. Nothing in these terms transfers a statutory marketplace, payment or tax obligation away from a party that legally owes it.
Bookings, cancellations and refunds
A booking is confirmed when the service reports confirmation, not simply when a checkout window opens. Temporary seat holds can expire. Review the offering and its cancellation policy before booking. Online cancellation availability, cutoff times and full or partial refunds depend on the policy accepted with that booking. If online cancellation is unavailable, contact the named provider. Date-free offerings may have different terms from scheduled activities.
A provider policy cannot remove mandatory consumer remedies, including remedies for non-delivery or rights that cannot be waived. Cancellation or cooling-off rights differ by country and by the nature and timing of the service; do not assume a scheduled leisure exception applies to every booking. Refund timing depends on the processor and bank. Any legally permitted deduction must have been properly disclosed and must comply with applicable law.
Content, privacy and acceptable use
You retain ownership of your content and give Spotlock permission to host, display, format and transmit it as needed to provide the service. Only publish images and information you are authorized to use. Requested automatic translations may contain errors; providers should review important instructions and policies. Do not upload unlawful content, infringe rights, misrepresent an offering, bypass access controls, abuse the service or send spam. Providers must give appropriate privacy notices and have a lawful basis for participant data they process. See the Privacy Policy for Spotlock’s own practices.
Availability and account closure
We maintain and improve the service, but cannot promise uninterrupted availability. We may restrict access to address fraud, security threats, unlawful activity or material breaches, and provide notice and an opportunity to resolve issues when appropriate. Closing an account does not erase existing booking, refund, recordkeeping or payment obligations. Contact support to arrange access to necessary records and handling of outstanding bookings.
Responsibility and disputes
Each party remains responsible for its own conduct and legal duties. To the extent permitted by law, Spotlock does not warrant the quality or safety of a provider’s independently supplied experience. Nothing excludes liability or consumer protections that cannot lawfully be excluded, including applicable protections concerning fraud, negligence, personal injury and statutory remedies. Contact RTA SCIENCE LLC through our contact form to seek a resolution. These terms do not impose mandatory arbitration or take away access to courts, regulators or consumer remedies available under applicable law.
Updates and contact
We will identify updated versions of these terms and provide notice of material changes as required by law. Where affirmative agreement is required, continued use alone will not substitute for it. New wording does not rewrite a cancellation policy or price already accepted for a confirmed booking. For questions, use Contact us and retain your request reference.
